We carry out all of our referencing checks in house and we ensure the process is carried out as quickly and as smoothly as possible.

The renting process 

Following your viewing if you would like to apply you need send your application form back to the team at pobllettingagency@poblgroup.co.uk

We will then let you know if your application is successful.

The next step is to provide us with the paperwork necessary to complete our reference checks, this includes –

  • Photo ID
  • Confirmation of current address (utility bill etc)
  • 3 months wages slips
  • 3 months bank statements
  • Proof of benefits if applicable
  • A holding deposit equivalent to one weeks’ rent for the property you are interested in

We will then carry out credit checks, employer referencing and previous landlord referencing.

When this is complete we will arrange a move in date for you.

You will not be asked to pay any fees or charges in connection with your application for a occupancy contract. However, if your application is successful under our standard contract, you will be required to pay certain fees for any breach of that contract in line with the Renting Homes (Fees etc.) (Wales) Act 2019. In consideration of us processing your application, you agree to pay those fees to us on request.

Inventory

An inventory of the condition of the property will be given upon moving in. This is very important that this is checked as soon as you get to the property to ensure you agree with what is stated to avoid any complications when moving out.

Bond

Your bond will be registered with DPS and you will be given all of these details when you move in.

Rent

The first month’s rent is paid upfront in cleared funds and the monthly payments will be set up upon move in. The monthly rent is taken either by standing order or direct debit. If however a payment doesn’t reach us then we can take a payment over the phone by contacting 0330 1759726. If you have any concerns regarding your rent payments please inform us as soon as possible.

Utilities

Your utility meter readings will have been taken before you move in and we inform the companies of your move in date. This however is up to yourself to ensure they have received this and to arrange payment direct with the utility companies.

Property visits

During your occupancy we will carry out routine property visits which we will arrange with yourselves. Our property managers will come to visit you and make sure you are happy with your home and they are there to discuss any issues or concerns you have with the property.

Occupancy Info 

For properties in Wales, the Renting Homes (Fees etc.) (Wales) Act 2019 means that in addition to rent, tenants can only be charged the following permitted payments: 

  • Tenancy Deposit – equivalent of up to 1.5 of agreed monthly rental amount  

 

  • Holding Deposit – maximum one week’s rent of agreed monthly rent, deducted from first month’s rent on commencement of agreement. This will be withheld if the occupancy contract does not commence due to the applicant deciding not to proceed on the agreed date or providing misleading/incorrect information. The occupancy contract start date should be within 15 days of payment, unless a different date is agreed and in writing by both agent and applicant. 

 

  • Early termination when requested by the contract holder –The contract holder will be expected to pay for the entirety of the occupancy unless an agreement is made with the Landlord and contract holder.

 

  • Where required, utilities (electricity, gas or other fuel, water, sewerage), communication services “telephone, internet, cable/satellite television), TV licence. 

 

  • Council tax (payable to the billing authority) 

 

  • Default fee for late payment of rent - Chargeable from 7 days arrears calculated on the interest at 3% above Bank of England base rate on the late payment of rent for each day that the payment is outstanding 

 

  • Default charge for damage to the property during or at end of occupancy will be in line with invoiced costs to remedy property to set original standard as per inventory 

 

  • Default charge for replacement of lost key/s or security device equivalent to cost incurred.

 

  • Default charge for missed appointments – £30 (£25 plus VAT) 

 

  • Default charge for out of hours call out appointments – £12 (£10 plus VAT) 

 

  • A breach of a term of the contract (where required under the standard contract) 

 

  • Any other permitted payments under the Renting Homes (Fees etc.) (Wales) Act and regulations applicable at the relevant time.
